Ahmad Kamarudin

Operations Manager, Petaling Jaya

We commissioned the Procurement Health Check after a year-end audit flagged some duplicated vendor spend. The session itself was thorough — Roshani came prepared with pointed questions and didn't let us paper over the gaps. The suggestions note was short but each point was specific. We've since addressed three of the five items and the fourth is in progress. Good value for what it costs.

Our vendor list had grown to nearly forty suppliers across different departments, with no consistent way of deciding who to use for what. The Vendor Management Engagement helped us consolidate the selection process and gave us a review template the team could actually fill in without guidance. It took about four weeks and the pace was sensible — not rushed. I'd been a little sceptical about what a consultancy could add here, but the templates they built were better than anything we'd tried to put together ourselves.

We're a manufacturing business that had never formally written down how we buy. The Procurement Practice Programme gave us a practice guide, three supplier scorecards covering our main categories, and a reporting outline that our accounts team could work from. The workshops were the most useful part — they got the right people in the room and made it clear that this wasn't just an advisory exercise that would sit in a folder. Three months on, we're still using the scorecards.

I'd used the Health Check two years ago at a previous employer, which is why I brought Penna Vale in here. The second engagement — the Vendor Management — was a natural next step given where we were. The same level of care was applied, and they remembered to keep things simple, which matters when the people doing the buying day-to-day aren't procurement specialists.

The Health Check was honest in a way that's not always comfortable — they noted a few things we already knew but hadn't acted on, and pointed out a few things we hadn't seen. The suggestions note was plainly written and specific enough to assign to staff. We got more from the working session than I expected, given it was half a day. Would use again for the next stage.

We came in at the Procurement Practice Programme level because we were bringing three regional offices under a single purchasing structure. The guide they produced is now the standard reference across all three sites. Zainal was particularly helpful in the workshops — he steered the conversation well when it went off-track. The reporting outline took some iteration but they revised it without complaint until it was workable.

Three examples of the kind of situation we're brought in to address, and what the work involved.

Distribution Company, Selangor — Vendor Management Engagement

4 weeks · RM 2,650

Challenge

The business had 28 active logistics and maintenance vendors, selected historically by individual department heads. Overlap was significant and pricing varied widely across sites for the same service categories.

What We Did

Mapped the full vendor list and category breakdown. Developed a briefing template and a selection criteria matrix for future vendor on-boarding. Introduced a six-monthly review process with a one-page scorecard format.

Outcome

Vendor list reduced from 28 to 19 within two months of the engagement. Selection criteria applied consistently across departments. First vendor review cycle completed on schedule.

"Having the criteria written down made the next vendor decision straightforward — everyone in the room was working from the same list." — Procurement Manager

Professional Services Firm, KLCC — Procurement Health Check

10 days · RM 590

Challenge

A 45-person advisory firm had grown rapidly and purchasing was handled informally by whoever had the most senior relationship with a vendor. There was no approval record and expense audits were taking an unreasonable amount of time.

What We Did

Conducted a half-day mapping session with the Finance Manager and Office Manager together. Identified five specific process gaps around approvals, vendor contact records, and IT purchase handling. Delivered a priority-ranked suggestions note.

Outcome

Approval routing documented within three weeks. A simple vendor register introduced. Monthly expense review time reduced by the Finance Manager's estimate of roughly 40%. Client subsequently commissioned the Vendor Management Engagement.

"It wasn't a complicated fix — but we needed someone to point to exactly where the time was going before we could address it." — Finance Manager

Manufacturer, Penang — Procurement Practice Programme

6 weeks · RM 4,450

Challenge

A mid-size electronics contract manufacturer needed to formalise procurement ahead of a planned ISO audit. They had no written policy, no supplier scorecard, and no standard for evaluating new material vendors.

What We Did

Ran three workshops with purchasing, quality, and finance staff. Built a procurement policy document, three supplier scorecards covering materials, services, and equipment, and a quarterly reporting template. Adapted all documents to their internal numbering system.

Outcome

ISO audit documentation requirements met. Procurement policy formally adopted. First full supplier scorecard review completed the quarter after the engagement ended. Zero re-audit required on procurement documentation.

"The auditors went through the procurement documentation without a single query. That's really all we needed — a set of documents that hold up under scrutiny." — Quality Manager
